How to Add Time Off for Staff

4 min readUpdated

Quick answer

On the Calendar, tap the + button and choose Add Time Off. Pick the Staff Member, choose a Type (One-time, Multi-day or Recurring), set the Date or dates, turn on Whole day or set From and To times, add a Reason and tap Save. Clients can no longer book that person online during that time.

Open in SupaDay
  1. Add time off
  2. Save
  3. Clients can’t book that day

Time off blocks a staff member's calendar for a lunch break, a doctor's visit, a vacation or a regular weekly commitment. Those times disappear from your online booking page, so clients can only book when the person is actually there.

Open the time off form

  1. Open the Calendar.
  2. Tap the round + button at the bottom right.
  3. In the quick actions (New Booking, Add Customer, Add Time Off, Quick Sale), choose Add Time Off.

Block a single day or a few hours

Use One-time for one day, or part of one day.

  1. Under Staff Member, pick who's off.
  2. Under Type, choose One-time.
  3. Pick the Date.
  4. Leave Whole day on for the full day. To block only part of the day, turn it off and set From and To.
  5. Add a Reason, like "Lunch" or "Dentist". It shows on the calendar block.
  6. Tap Save.

Block a vacation or several days

  1. Under Type, choose Multi-day.
  2. Pick the first day under From and the last day under To.
  3. Keep Whole day on, or turn it off to block the same hours on each day.
  4. Add a Reason and tap Save.

Set up regular time off

For something that happens on a schedule, like school pickup every Tuesday or a standing day off on the first Monday of the month:

  1. Under Type, choose Recurring.
  2. Pick the date it starts under Repeat from.
  3. Turn on Whole day, or set From and To times.
  4. Choose a Frequency: Daily, Weekly or Monthly, and how often under Every.
  5. For weekly, pick the days under On (Mon through Sun). For monthly, choose Day of month or Nth weekday, such as the 1st, 2nd, 3rd, 4th or Last Monday.
  6. Under Ends, choose Never or On date and pick an end date.
  7. Add a Reason and tap Save.

Weekly time off repeats on its own and keeps the calendar blocked. (In the app this type is called Recurring.)

Edit or delete time off

Time off shows on the calendar as a block with its reason, or "OUT" if no reason was added.

  1. Click the block on the calendar. Edit Time Off opens.
  2. Change what you need and tap Update.
  3. To remove it, tap Delete, then Delete again to confirm.

How time off affects bookings

  • Online booking: clients can't book that staff member during their time off. Those times simply don't show on your booking page.
  • Your team: you can still book over time off from the calendar if you need to, for example when someone comes in on their day off for a regular client.
  • Everyone sees it: the block appears on the calendar for the whole team right away.

Time off added by anyone shows up on everyone's calendar right away.

Tip: Time off is for exceptions. For the hours someone normally works each week, set their regular schedule in Team, Staff Schedule. See How to set working hours for each staff member.

FAQ

Frequently asked questions

Can staff add their own time off?

Yes. Staff with access to manage their own calendar can tap + on the Calendar and choose Add Time Off for themselves. Only owners and managers can add time off for other people.

Will clients see the reason for time off?

No. Clients just see fewer available times on your booking page. The reason only shows on your team's calendar.

Can I still book a client during someone's time off?

Yes. Time off blocks online booking, but staff can still book over it from the calendar when they need to.

How do I block a lunch break every day?

Choose Recurring, turn off Whole day, set From and To to the lunch hour, set Frequency to Daily and Ends to Never, then tap Save.

What's the difference between time off and staff schedules?

Staff Schedule sets the hours someone normally works each week. Time off blocks specific dates or times on top of that, like a vacation or an appointment.
