How to Set Up Recurring Appointments for Regular Clients

3 min readUpdated

Quick answer

Open a new booking on the Calendar, fill in the customer, staff, service and first date, then turn on Repeat booking. Pick the Frequency (Daily, Weekly or Monthly), how often under Every, the days or pattern, and when it Ends (Never or On date). Click Create Booking and every visit appears on the calendar.

Open in SupaDay
  1. Turn on Repeat booking
  2. Every 4 weeks, on Fridays
  3. Booked months ahead

Regulars like a fill every two weeks, a root touch-up every five weeks or a monthly facial don't need to be rebooked by hand. Set the schedule once and every future visit lands on the calendar.

Turn on Repeat booking

  1. Start a new booking on the Calendar (click an empty slot, or tap + and choose New Booking).
  2. Fill in the customer, Provider, Service, and the date and time of the first visit.
  3. Turn on Repeat booking.
  4. Set the schedule (see the next section).
  5. Click Create Booking.

Choose how often it repeats

Setting What it does
Frequency Daily, Weekly or Monthly.
Every How many days, weeks or months between visits. "Every 2 week(s)" means every other week.
On (weekly) The day or days of the week, like WE for Wednesday. Pick at least one.
Pattern (monthly) Day of month books the same date each month (for example, On day 15). Nth weekday books something like the 2nd Tuesday: choose The, then 1st, 2nd, 3rd, 4th or Last, then the weekday.
Ends Never keeps the series going. On date stops it after the date you choose.

Some common schedules:

  • Gel or acrylic fill: Weekly, every 2 weeks
  • Root touch-up: Weekly, every 4 to 6 weeks
  • Barber cut: Weekly, every 2 to 3 weeks
  • Facial or massage: Monthly, on the same weekday each month

See the series on your calendar

Every visit shows on the calendar like any other appointment. Click one to open Booking Details, where the Repeat section spells out the schedule, such as "Weekly every 4 weeks on Wed".

In Booking History (under Insights), repeating bookings show a 🔁 icon with the same summary.

A repeating series keeps the same day and time going forward.

Change one visit or the rest

  1. Click the visit on the calendar.
  2. Click Edit Booking and make your change, like a new time or service.
  3. Click Save Changes.
  4. Under Apply changes to, choose Only this booking or This and following bookings.
  5. Click Confirm.

Pick Only this booking when a client moves just one visit. Pick This and following bookings when their regular day or service changes for good. Earlier visits stay as they were.

Tip: To change the schedule itself (for example, from every 3 weeks to every 4), open Edit Booking and click Edit next to Repeat Pattern.

Delete one visit or the rest

  1. Click the visit on the calendar.
  2. Click Delete.
  3. Under Delete booking, choose Only this booking or This and following bookings.
  4. Click Confirm.

If the client is only skipping a visit, you can also mark that one visit Cancelled instead, so it stays in their history. See How to handle cancellations and reschedules.
