How to Book Clients Who Don't Mind Who They See

3 min readUpdated

Quick answer

Go to Settings, and under Booking Settings check Show an "Anyone" column on the calendar, then click Save Settings. An Anyone column appears first on the Day view. Book clients with no staff preference there, then open the booking, click Edit Booking and pick a Provider before checkout.

Open in SupaDay

Lots of clients just want "whoever's free at 2". The Anyone column lets you hold their spot on the calendar without picking a staff member yet, then hand the booking to the right person once you see how the day is shaping up.

Turn on the Anyone column

Only admins can change this setting.

  1. Click Settings in the More menu.
  2. In Booking Settings, check Show an "Anyone" column on the calendar.
  3. Click Save Settings.

The column shows up once your team has at least two staff members who take bookings. With only one person, there's no one else to choose from, so SupaDay keeps it hidden.

Book a client into Anyone

  1. Open the Calendar in Day view. The Anyone column sits first, before your staff columns.
  2. Click an empty slot in the Anyone column.
  3. Add the customer, service and time, then click Create Booking.

You can also start a booking any other way and pick Anyone at the top of the Provider list.

  1. Tap a free time
  2. Type the client’s name
  3. Pick a service
  4. Booked

Booking from an empty slot works the same in the Anyone column as in a staff column.

Owners, managers and staff who are allowed to book for teammates can use the Anyone column. Staff who can only manage their own calendar can't create unassigned bookings.

Assign a staff member later

When you know who's taking the client:

  1. Click the booking in the Anyone column to open Booking Details.
  2. Click Edit Booking.
  3. Choose the staff member under Provider.
  4. Click Save Changes.

The booking moves into that person's column.

Heads up: A staff member must be assigned before checkout. Tips and commissions are tied to the person who did the service, so SupaDay asks you to "Assign a staff member before checkout" if you try to ring up an Anyone booking.

Things to know

  • No conflict check yet. Anyone bookings aren't tied to a staff schedule, so the Check Conflicts button doesn't appear for them. Run the check after you assign someone.
  • Online bookings aren't affected. Clients booking on your booking page still get a real staff member. The Anyone column is for bookings your team makes.
  • Turning it off later. If you uncheck the setting while unassigned bookings still exist, the column stays visible to staff who can see the whole team, so those bookings don't get lost. Assign them, then the column goes away.

FAQ

Frequently asked questions

Why don't I see the Anyone column after turning it on?

It only appears when at least two staff members take bookings, and it shows as a column in Day view on the Calendar. Also check that Save Settings was clicked after checking the box.

Can I check out a booking that's still in the Anyone column?

No. Assign a staff member first by opening the booking, clicking Edit Booking and choosing a Provider. SupaDay needs a staff member to record tips and commissions.

Can clients choose "Anyone" when they book online?

The Anyone column is only for bookings your team creates in SupaDay. Online bookings are made with a specific staff member.

Can staff put bookings in the Anyone column?

Staff can if their booking access lets them book for teammates. Staff who can only manage their own calendar can't create unassigned bookings.

Is the Anyone column the same as the walk-in queue?

No. The Anyone column holds booked appointments with no staff member yet. Walk-ins who check in with "Anyone Available" go to the Customer Check-in Queue on the turn tracker.
