Understanding Staff Roles and Permissions

Every team member in SupaDay has a role that determines what they can see and do. There are three roles: Administrator, Manager, and Provider.

The three roles

Administrator

Full access to everything — staff management, billing, system settings, marketing, commissions, and all manager and provider permissions. Only admins can add or remove team members, change roles, and manage commission settings.

Manager

Can manage day-to-day operations — services, customers, staff schedules, calendar, checkout, turn tracker, reports, booking history, and transactions. Managers see everything except billing, staff management, marketing, and commission settings.

Provider

The role for your technicians and stylists. Providers see their own dashboard with today's schedule, upcoming bookings, and quick stats. They can manage their own working hours (on the Grow plan and above) and view their own earnings.

Provider booking access levels

Providers have an additional setting called Booking Access that controls how much of the calendar they can see and interact with. The admin sets this per provider:

  • No Access — can't see the calendar at all
  • View Their Own Calendar — can see their own bookings and customer contact info (default)
  • Manage Their Own Calendar — can create and edit their own bookings
  • View Entire Team Calendars — can see all providers' bookings
  • Manage Entire Team Calendars — can create and edit bookings for other providers (requires confirmation)
  • Full Team Calendar Control — full booking access with no confirmation required

How to change a role

  1. Go to Staff (under the Team menu, admin only)
  2. Click Edit on the team member
  3. Change the Role dropdown to Administrator, Manager, or Provider
  4. Click Update

Adding staff with or without a login

When adding a new provider, you choose whether they need a login:

  • With account — they receive an email invitation to create their own login. Required for administrators and managers
  • No account — they appear on the calendar and can be booked, but can't log in themselves. Good for techs who don't need to manage anything

Public booking visibility

Each team member has a Public Booking toggle that controls whether they appear on your online booking page. Turn it off for staff who shouldn't be bookable by clients (e.g., front desk, or techs on leave).
