How to Manage Staff Schedules

Each staff member has their own working hours that control when clients can book with them. Managers and admins set these from the Staff Schedule page.

Open the staff schedule

Go to Staff Schedule (under the Team menu). You'll see a card for each staff member showing their name, role, and working hours for each day of the week.

Edit a staff member's hours

  1. Find the staff member on the page
  2. Click Edit Schedule
  3. For each day:
    • Check the box to mark the day as a working day
    • Set the start time and end time
    • Leave unchecked for days off
  4. Save the changes

Hours use 12-hour format with 5-minute increments.

Set all staff to team hours

Click Set All to Team Hours at the top of the page to reset every staff member's schedule to match your business hours (set in Settings). This is useful when you want a clean starting point.

Staff managing their own hours

On the Grow plan and above, providers can manage their own working hours:

  1. The provider goes to their Provider Dashboard
  2. Clicks Manage Schedule under Quick Actions
  3. Chooses between Use Business Hours (match the team schedule) or Use Custom Working Hours (set their own)
  4. If custom, they set their start and end times per day
  5. Clicks Save Schedule

The team's business hours are always shown as a reference so providers can see the salon's open hours while setting their own.

Time off

Staff can add time off directly from the calendar:

  1. Click the + button on the calendar and choose Add Time Off
  2. Select the staff member (managers/admins can add time off for anyone)
  3. Choose the type: one-time, multi-day, or recurring
  4. Set the dates and times (or toggle "Whole day" for full-day blocks)
  5. Add an optional reason
  6. Click Save

Time off blocks appear on the calendar and prevent clients from booking during those times.
